PeopleSoft Employee Self Service Implemented on January 2, 2007
Conversion of data from our old HR legacy system to PeopleSoft HR occurred just prior to the holiday break and HR self-service was made available to the campus on January 2. The first payroll on our new system (the January bi-weekly pay) and January month-end payrolls were successfully generated on PeopleSoft.
Enhancements
To enhance the overall service and support for employees of the University, Pepperdine wanted a way of creating a unique and highly personalized online environment to provide vital self-service features. The HR implementation results in many enhancements for self-service.
HR self-service features within the portal environment allow users to:
View, add, or update personal information (home and mailing address, e-mail addresses, phone numbers, emergency contacts)
More information is available about the changes and enhancements that occurred with the implementation of the new HR system.
HR/Payroll Town Hall Meetings
HR/Payroll Self Service Town Hall Meetings were held January 4 - 11. The HR Self-Service Town Hall, for all employees of Pepperdine University, featured self-service instruction on the following:
C2C Training Information: Links to videos and accompanying materials from the HR/Payroll Town Hall meetings will be available on the C2C Web site later this month.
Overview of HR/Payroll System Changes
There are a number of changes that have taken place in Payroll and HR with the implementation of the new HR system. Here is an overview of those changes.
Employee Self Service
Starting on January 2, 2007, by going to “My Information” on WaveNet, which is located on the left-hand side under the Pepperdine Menu, you can view your personal information and pay stub, as well as view, add, or change your address, phone number, emergency contact, Direct Deposit, and Federal and/or State withholdings information.
When you see your name on “My Information,” you will see your formal legal name. This is the name on your Social Security Card. If your SSN card says Samantha Jones, but you use the alternative name of Sam Smith (your maiden name), the system can contain both names; but Self Service will only show your formal name. HR will use your preferred name, such as Sam Smith, in reports and mailings.
Benefits Open Enrollment
Benefits open enrollment in July will be on-line. Training and information sessions will be hosted by HR in June/July to assist with the on-line benefits open enrollment process.
Pay Stub Distribution
The Payroll Department will no longer automatically print your Direct Deposit Pay Stub. A feature of the PeopleSoft system allows you to view and print your Pay Stub (which includes all of your pay information) by going to “My Information” in the Pepperdine Menu on WaveNet. When printing from your computer, depending on your settings, you may need to print the pay check landscape to ensure that the information on the side of the page can be seen when printed.
You can request to have a Pay Stub printed or discontinue printing by clicking on the “Pay Statement Print Option” towards the bottom on the Direct Deposit page and selecting the appropriate option.
All system printed Direct Deposit pay stubs and pay checks will be mailed to your HOME address (HOME address is where your W-2 is mailed). If you want it to be sent to an address other than HOME, please contact payroll and complete the form to change your Pay Stub Distribution. Pay Stub Distribution address is not visible in “My Information;” it is solely maintained by the Payroll Department.
Pay Check YTD information
Your year-to-date (YTD) information on your pay check will only be on your most current on-line Pay Stub. Previous checks will only have actual earnings for that pay period.
Check History on “My Information”
Your check history prior to the HR/Payroll implementation (January 2) will not be available on-line. If you need previous pay information, please contact Payroll.
Kronos
The Kronos system is being upgraded with our HR implementation so that it can interface with our new systems. There are two main changes for Kronos:
